New IntelliChief 2.6 Enhances ERP Integration, Simplifies Installation

Software provides the power to associate key business documents in electronic format directly with native System i applications.

IntelliChief, a Quadrant Software company, has extended the latest version of its IntelliChief paperless process management solution to provide tighter integration with the most widely used ERP applications on IBM Power Systems (System i, iSeries, AS/400) and Windows enterprises, the company announced.

By tightly integrating with ERP applications running natively on the System i, IntelliChief 2.6 provides the power to associate key business documents in electronic format directly with native System i applications for users of ERP applications from Infor, JD Edwards, JDA, Mincron, and other software providers. 

This upgrade enables the step-by-step processing of ERP documents in electronic format, applying a company's rules and internal procedures along the way, including retrieving the documents, directly from an end user's familiar ERP screen. These features are embodied in plug-and-play modules for purchase-to-pay and order-to-cash business processes so that once installed, integration for indexing, archiving, searching, and retrieving mission-critical documents such as purchase orders, invoices, order acknowledgments, and others from the ERP system becomes faster and easier. In addition, IntelliChief 2.6 streamlines installation and implementation procedures, offers faster business-rule setup, and provides an entry-level pricing option.

New Enhanced ERP Integration Modules

By tightly integrating with ERP applications running natively on the System i, IntelliChief gives manufacturers, distributors financial service companies and a host of other industry-specific users the power to associate key business documents in electronic format directly with their native System i application, completely eliminating the paper and paper-intensive procedures so endemic in the modern business organization. Rather than receiving and routing key business documents by paper, IntelliChief allows for the capture, index, archive and step-by-step processing of that document in electronic format, applying all the company's rules and internal procedures along the way. This includes retrieving the documents directly from an end user's familiar ERP screen, saving the inefficiencies and costly handling of paper-based business documents.

These modules have been pre-configured and pre-packaged so that when installed, integration for indexing, archiving, searching, and retrieving mission-critical documents such as purchase orders, invoices, order acknowledgments, and others from the ERP system is now faster and easier.

Business Process Integrations:
Plug-and-play integration modules for the System i applications listed above include the following components:

    • Auto capture and index of requisitions and PO's generated by ERP application
    • Intelligent capture of warehouse receivers
    • Auto capture and indexing of vendors invoices
    • Sophisticated 3-way matching of captured documents to speed up invoice processing and prevent double payments and overpayments
    • Auto-setup of scanning profiles, based on requirements of each document type
    • On-screen integration for scan, index, and retrieve functions directly from the ERP
  • Order-to-Cash Business Process
    • Auto capture and index of shipping notices and invoices generated by ERP system
    • Attachment of customer correspondence for retrieval by customer or order number
    • Auto faxing or email of order acknowledgements directly from the ERP without user intervention
    • Auto indexing and archival of acknowledgements, shipping documents, and invoices
    • Auto-linking of order, acknowledgement, shipping document, invoice, and customer check electronically for full transactional history
    • Auto-setup of scanning profiles, based on requirements of each document type
    • On-screen integration for scan, index, and retrieve functions directly from the ERP

Faster Installation and Implementation with Improved Default Settings:

Installing software on a server is only the first step in any system implementation. The real work comes during system configuration while applying a customer's business rules to the business process. IntelliChief now provides more advanced defaults for easy setup of most common methods for processing of documents within the purchase-to-pay and order-to-cash operations.

In Release 2.6, each document type is created with default authorities and scanning preferences, allowing a user or department to more easily implement the system within the framework of their specific business process. Authorities and scanning preferences have been set up for the following documents:

    • Invoices
    • Purchase Orders
    • Warehouse Receivers
    • A/P Checks
  • Order-to-Cash Business Process
    • Customer Orders 
    • Acknowledgements
    • Shipping Documents
    • Invoices
    • Customer Checks
With Release 2.6, IntelliChief's installation has now been streamlined by packaging into installation files default document profiles and related attributes that enables users to simply modify existing document properties instead of having to create each one individually, thereby streamlining the implementation process.

Now managing approval of documents, forwarding documents for review, and moving documents throughout the system electronically is all made easier by speeding up system configuration, allowing the customer to go into production faster.

Improved WebForms Installation:
IntelliChief 2.6 includes improved installation procedures for its highly popular WebForms component.

IntelliChief WebForms is an easy-to-use software tool for creating web-based forms that can be completed and routed among authorized users for creation of business documents not normally provided by key application vendors. For example, templates are now provided for the creation of a purchase order requisition and a check request.

By replacing hand written forms, the IntelliChief WebForms module allows users to use their internet browser to fill out the online form and submit it for approval. If changes are necessary, the electronic form can be modified by authorized users electronically until it satisfies all requirements. Upon approval, which is also done electronically via IntelliChief, the WebForm is then saved as an image file in IntelliChief and routed to the appropriate user for processing.

Users can access the WebForms from anywhere in their organization and speed up purchasing and check requests. The audit trail that is created every time the form is opened, viewed, changed, and approved helps managers and auditors track the full transaction throughout its completion.

Faster System Installation with Improved User Configuration:
IntelliChief 2.6 administrators now have the ability to copy users' profiles when creating new users, speeding up the creation and configuration of new users of the system, ensuring consistency and accountability among similar users.

In addition, to help speed up system setup for those companies with hundreds and even thousands of users, IntelliChief 2.6 now allows for the import of MS Excel files containing the user information, eliminating the manual step of setting up each user individually. Upon importing the list from an authorized administrator, the system will automatically create the user profiles thus speeding up setup and implementation, particularly in large organizations.

Improved Business Rule Setup with Advanced Workflow Engine:
The Workflow Engine of IntelliChief has been improved in Release 2.6 with the release of a highly sophisticated processing engine based on Microsoft's.NET framework with support for multiple stages for decision making.

The Workflow engine of IntelliChief is where business process rules, exceptions and handling criteria are defined for sending, approving, forwarding and filing key business documents. Companies that implement IntelliChief's Workflow Engine see the benefit through reduced paper handling that comes with handling the step-by-step processing of that paper through electronic means rather than the older, inefficient paper-based process.

Actions taken on documents, such as sending for approval, alerting a user of processing to be done on the document, re-routing of work for vacations and absences, pay limit authorizations, escalations, etc., are now more easily enabled with the improved Workflow Engine. Testing and troubleshooting of workflows designs are much quicker and easier than prior to Release 2.6.

With this new enhancement included in Release 2.6, companies can now configure complex business rules and escalation procedures much faster and more accurately than ever before.

Package Pricing Resulting in Lower Pricing:
The improvements related to seamless ERP integration, faster installation and configuration, and improved Workflow Engine as described in this release have enabled IntelliChief to revise its pricing structure and offer a new entry-level pricing at less than $15K.
